Rental Policies
Effective Date: September 16, 2026
Thank you for choosing Salt & Light Event Rentals. We take pride in providing clean, well-maintained event equipment and want every rental experience to be simple, enjoyable, and fair.
Our equipment represents a significant investment in our business. These Rental Policies are designed to help protect our equipment while clearly explaining the responsibilities of both Salt & Light Event Rentals and our customers.
By confirming a rental, signing a rental agreement, accepting delivery, or taking possession of rental equipment, the customer agrees to the applicable quote, rental agreement, and these Rental Policies.
1. Reservations and Availability
All rental equipment is subject to availability.
Prices displayed on our website are rental rates for reference and may not represent a final quote. A reservation is not guaranteed until Salt & Light Event Rentals confirms availability and any required rental agreement, payment, deposit, or other booking requirement has been completed.
A quote does not reserve equipment unless specifically stated in writing.
2. Rental Period
The rental period will be stated in the customer's confirmed quote, invoice, reservation, or rental agreement.
Equipment must be returned or made available for pickup at the agreed date and time unless Salt & Light Event Rentals approves an extension in advance.
Additional charges may apply when equipment is retained beyond the agreed rental period.
3. Customer Responsibility for Rental Equipment
Once rental equipment has been delivered to, picked up by, or otherwise placed in the customer's possession or control, the customer is responsible for exercising reasonable care to protect it.
The customer is responsible for rental equipment until it is:
- returned directly to Salt & Light Event Rentals;
- picked up by an authorized Salt & Light Event Rentals representative; or
- otherwise confirmed by us as returned.
Rental equipment should not be left unattended in an unsecured location.
Customers are expected to take reasonable precautions against damage, misuse, theft, loss, vandalism, weather exposure, and unauthorized use.
4. Condition of Equipment
We make reasonable efforts to provide rental equipment in clean, functional, and serviceable condition.
Customers should inspect equipment when receiving it and promptly notify us of any significant pre-existing damage, missing pieces, or operational problems.
If no issue is reported within a reasonable time after receiving the equipment, the equipment may be presumed to have been received in acceptable condition, subject to any photographs, inspection records, delivery records, or other documentation maintained by Salt & Light Event Rentals.
5. Return Condition
All rental items must be returned in substantially the same condition in which they were provided, except for reasonable and ordinary wear resulting from proper use.
Customers should not permanently alter, paint, cut, drill, staple, glue, tape, write on, dismantle, or otherwise modify rental equipment unless Salt & Light Event Rentals has specifically authorized it.
6. Damage, Loss, or Missing Equipment
The customer may be financially responsible for rental equipment that is damaged, destroyed, lost, stolen, altered, or not returned while under the customer's possession or control, except to the extent prohibited by applicable law.
Charges may include the reasonable cost of:
- repair;
- replacement;
- replacement parts;
- missing accessories;
- specialized cleaning;
- restoration; or
- other reasonable costs necessary to return the equipment to substantially the condition in which it was provided.
We do not intend to charge customers for normal wear and tear resulting from responsible use.
If an item cannot reasonably or safely be repaired, the customer may be responsible for its reasonable replacement cost.
Any insurance maintained by Salt & Light Event Rentals does not automatically eliminate or reduce a customer's responsibility for rental equipment.
7. Lost or Stolen Equipment
The customer must notify Salt & Light Event Rentals promptly if rental equipment is lost or stolen.
For suspected theft, we may ask the customer to cooperate with reasonable documentation requirements, including filing a police report when appropriate.
The customer may remain responsible for the equipment or its reasonable replacement cost in accordance with the rental agreement and applicable law.
8. Cleaning
Rental equipment should be returned in a reasonably clean condition consistent with its intended use.
Normal cleaning following ordinary use is expected. However, additional cleaning charges may apply when equipment is returned with excessive food residue, grease, wax, adhesive, stains, mud, paint, bodily fluids, smoke residue, excessive dirt, or other conditions requiring unusual cleaning or professional restoration.
Customers should not use chemicals, abrasive cleaners, pressure washing, or other cleaning methods that could damage equipment unless authorized by Salt & Light Event Rentals.
9. Chairs, Tables, Linens, Covers, and Decorative Items
Chairs, tables, linens, chair covers, sashes, runners, backdrops, stands, and decorative equipment must be used for their intended purpose.
Customers are responsible for damage beyond normal wear, including significant staining, burns, tears, cuts, broken frames, bent components, missing pieces, or unauthorized alterations.
Wet or damp linens should not be sealed in containers or bags for extended periods where doing so could cause mildew or permanent damage.
10. Catering and Food-Service Equipment
Chafing dishes, food warmers, beverage dispensers, rice cookers, racks, and related equipment must be operated according to their intended purpose.
The customer is responsible for safe operation and for keeping equipment away from combustible materials, unsafe surfaces, children, or other hazardous conditions.
Food-service equipment should not be subjected to misuse, open flames, excessive heat, or cleaning procedures inconsistent with its intended design.
11. Audio and Electronic Equipment
Speakers, mixers, microphones, stands, cables, and other electronic equipment must be protected from rain, moisture, excessive heat, electrical hazards, falls, impacts, and unauthorized modification.
Electronic equipment intended for dry conditions must not be exposed to rain or water.
Customers should not open, repair, rewire, modify, or disassemble electronic equipment.
If equipment appears damaged or malfunctions, discontinue use and contact Salt & Light Event Rentals rather than attempting a repair.
12. Tents, Canopies, Outdoor Equipment, and Weather
Outdoor equipment is affected by weather conditions.
Customers must use reasonable care and follow any setup, anchoring, operating, or safety instructions provided by Salt & Light Event Rentals.
Tents, canopies, backdrops, speakers, fans, and other equipment should not be used under conditions that create an unreasonable safety risk, including severe storms, dangerous winds, lightning, flooding, or other hazardous weather.
Salt & Light Event Rentals may decline, delay, modify, or discontinue installation or use of equipment when we reasonably believe conditions are unsafe.
Safety takes priority over the event schedule.
13. Delivery and Pickup
When delivery or pickup is included, the customer is responsible for providing reasonable and safe access to the location at the agreed time.
The customer should disclose stairs, elevators, restricted access, long carrying distances, difficult terrain, parking restrictions, venue requirements, or other conditions that may materially affect delivery or setup.
Additional services or unexpected delivery conditions may result in additional charges when communicated and agreed upon as appropriate.
For scheduled pickup, equipment should be accessible, organized, and ready for collection.
14. Customer Pickup
When customers pick up equipment themselves, they are responsible for using a suitable vehicle and properly securing the equipment during transportation.
Salt & Light Event Rentals may decline to release equipment when we reasonably believe the proposed transportation method creates a material risk of damage or injury.
15. Setup and Movement of Equipment
If Salt & Light Event Rentals provides setup services, customers should not relocate equipment in a manner that creates an unsafe condition or exposes the equipment to damage.
Equipment must not be used for purposes for which it was not designed.
Standing on chairs, tables, catering equipment, speakers, cases, or other equipment not designed for that purpose is prohibited.
16. Children and Guests
The person renting the equipment is responsible for reasonable supervision of its use by event attendees, children, guests, vendors, contractors, and other persons with access to the equipment.
The customer should take appropriate precautions to prevent unsafe or unauthorized use.
17. Sub-Rental and Transfer
Rental equipment may not be sold, pledged, loaned, sub-rented, transferred, or provided to another person or business for separate commercial use without written approval from Salt & Light Event Rentals.
18. Cancellation and Changes
Cancellation, rescheduling, deposit, refund, and change terms may vary depending on the equipment, event date, services requested, and circumstances of the reservation.
The specific terms stated in the customer's confirmed quote, invoice, reservation, or rental agreement will control.
Customers should contact us as soon as possible when an event changes. We will make reasonable efforts to work with customers when circumstances allow, but availability for a new date cannot be guaranteed.
19. Safety
Customers are responsible for using rental equipment responsibly and according to its intended purpose.
Nothing in these policies authorizes the customer to use equipment in a way that is unsafe, unlawful, contrary to manufacturer instructions, or inconsistent with instructions provided by Salt & Light Event Rentals.
20. Photographs and Documentation
Salt & Light Event Rentals may photograph or otherwise document rental equipment before delivery, at delivery, during setup, at pickup, or upon return for inventory, condition verification, dispute resolution, and business-record purposes.
21. Charges for Damage or Loss
When damage, loss, missing equipment, excessive cleaning, or other chargeable conditions are identified, we will make reasonable efforts to document the condition and determine an appropriate repair, cleaning, or replacement cost.
Any amounts owed will be handled in accordance with the customer's rental agreement, invoice, payment authorization, and applicable law.
22. Questions
We believe rental policies should be fair to both the customer and our company.
If you have questions regarding the condition, operation, transportation, or return of an item, please contact us before using or altering the equipment.
We would much rather answer a question beforehand than have equipment damaged or a customer experience a problem.
